QXpress version 9.0 (QX9) Release

With the help of your suggestions, we have added many new features to QXpress. The features range from small changes, such as being able to copy project visits over a specified date range, to big changes, such as the new Email List feature for email marketing. Here are the top features added in QX9:

New for QXpress Standard, Gold, Platinum and Enterprise:

  • QuickBooks 2009 compatibility - QXpress 9.0 has been configured to be compatible with the upcoming release of QuickBooks 2009 US, Canadian 2009, South African 2009 and UK 2009, and Australian 2008/2009.
  • QX Mapping MASH-UP - There is a great new option in QX9 for QX Mapping users called “MASH-UP”. It allows you to create a map in Microsoft MapPoint directly, draw territories and zones, save the map, and then use that map as the base for QX Mapping. That way all job site locations will be plotted onto the base map.
  • Template Designer Sub Report filtering - A long awaited and heavily requested feature is for the ability to apply filters to Sub Reports. This is especially useful on renewal letters that show all services, and previously gave no ability to limit what showed up in the Sub Report.
  • Accept Reject resizable - The Accept / Reject screen is now resizable. Although, seemingly a small feature, it was requested numerous times in the Suggestion Box.
  • Charge Description filter focus - When you open the Charge Description list the keyboard cursor will now take focus directly in the Charge Description Filter box.
  • Mass replace Start and Stop Scheduling Dates in Advanced Charge Descriptions.
  • Support for currency symbol for South African Rand "R".
  • Calendar saves row height, per user.


New for QXpress Gold, Platinum and Enterprise:

  • ALL QXPRESS STANDARD FEATURES
  • To Be Emailed set in QuickBooks - Invoices with the invoice type “Type 4”, “Type 5”, “Type 6” and not emailed directly from QXpress, will now be marked as “To Be Emailed” in QuickBooks.
  • ‘Copy Work Order # to Invoice #’ - There is now a ‘Copy Work Order # to Invoice # custom field on One Time and Project services’ preference that causes the default invoice number to be overwritten by the Work Order number of One Time and Project services when they are invoiced.
  • Invoice Type in Invoice List - There is now an Invoice Type column in the Invoice list, indicating what type of invoice setting the services on the invoice had before the invoice was created. This is especially helpful in determining which invoices need to be emailed, since the invoice type turns yellow once it has been sent for emailing.
  • ‘Post As’ column in Invoice List, Accept Reject.
  • LastJobKindDate in Waiting List.

New for QXpress Platinum and Enterprise:

  • ALL QXPRESS STANDARD and GOLD FEATURES
  • Copy Project Visits - There is now a way to copy a project visit over a specified date range, making it very easy to schedule a project with a long duration.
  • Project Scheduling row resizing.
  • Project Scheduling column resizing.
  • Create Email List - This is the *biggest* feature of QX9. Emailing through Microsoft Outlook is now integrated through QXpress so that you can do advanced emails directly to your customers from QXpress.
  • Export to Excel - There are already two ways of exporting data to Excel (Mail Merge, and exporting a report). This as a 3rd option, that is a quick way of exporting any data available to reports, into Excel.
  • Custom Field Updater - The custom field updater gives you a way of “flagging” a group of customers for a marketing campaign.

QXpress version 8.0 (QX8) Release

With the help of your suggestions, we have added over 25 new features to QXpress. The features range from small changes, such as having contact manager 'Alerts', to big changes, such as having an Equipment column in the Job Items tab, and a new 'Changes Only' option when performing a synchronization with QuickBooks! New for QXpress Standard, Gold, Platinum and Enterprise:

  • QuickBooks 2008 compatibility.
  • Changes-only sync - A new feature has been added to the QX Sync screen that allows you to only request the latest changes from QuickBooks, rather than a refresh of the entire QuickBooks database. This provides a significant benefit for larger companies since the processing time for a sync is very short, and does not require all users to log out of QXpress.
  • Performance increase on adding or modifying customers - Users that have large customer lists will see a significant performance increase when adding or modifying customers in either QXpress or QuickBooks.
  • Capitalization of states and postal codes - There is now an option to automatically capitalize state / province abbreviations as well as postal codes when adding or editing a QuickBooks customer.
  • Override on edit sequence - In previous versions if you add or edit a QuickBooks customer and someone else has added or edited the customer since you started, you would be refused the ability to save changes. This has been improved so that you will now get a prompt to see if you want to override the warning and send your changes anyway.
  • Conflict checking - There is now the ability to check each scheduled service to see if it conflicts with any future appointments.
  • Appointment Colors - The ability to color-code appointments in Day View and Week View, has been added.
  • My Week - You can now define when your "week" begins and ends, rather than just have the default of Monday to Friday. 
  • Charge Description field length - The number of characters permitted for a Charge Description has increased from 50 characters to 250.
  • Dollar amounts in Month View - The ability now exists to hide sales and job cost revenue from the Month View calendar.
  • Show totals in List View - The ability has been added to show totals of "Est. Hours" and "Amount" in the footer of the List View grid.
  • Waiting List sorting and position - In previous versions the Waiting List would lose its position and sorting when a job was either edited from the Waiting List or from the Calendar. In QX8 it will remember this position.
  • Updating instructions from series to occurrence - A common new user question has always been why editing the instructions on the occurrence of a recurring service does not affect the instructions of the entire series. This happens because as soon as a service is turned On Route it is considered to be separate from all future dates so that you can have specific pricing or instructions for that one visit. To make this easier, however, you will now be prompted to see if you want to update the series when you make changes to the occurrence, and vise versa.
  • Calendars for rescheduling - When you click Activities > Reschedule in My Calendar you will now be greeted with a calendar to choose the new reschedule date, rather than having to type in the new date manually.
  • Create blank database - A new option has been added so that a new database can be created from the login form. Unlike the File > New Company Database option, this database is completely blank and does not include custom fields or templates from other databases.
  • Date change prompt - QXpress has been changed so that it won't stop to prompt to confirm that you want to change to the current date when the clock passes over midnight. It will just assume the clock should change.
  • Post To QuickBooks reminders in Home screen - You now have the ability to show or hide the reminders to post invoices, service times, vendor bills and inventory adjustments to QuickBooks.


New for QXpress Gold, Platinum and Enterprise:

  • ALL QXPRESS STANDARD FEATURES
  • Warranty information on equipment - There are now three additional fields available in the Equipment screen: "Expiry on labor", "Expiry on parts" and "Notes".
  • Equipment on Job Items - You can now specify equipment for servicing when scheduling a new service. This is especially useful for companies that maintain equipment on customer job sites, such as heaters, boilers and air conditioning units. By using the Job Items tab a user can list several different units of equipment to be serviced on a one time or recurring basis.
  • Printing Contact Events - Events can now be printed directly from the Add/Edit Contact Manager Event screen. Previously, events could only be printed from the Contact Events list.
  • Alerts - An "Alert" field has been added to contact events so that a screen appears when a new service is being scheduled for that customer. This is especially useful if you want to flag the customer as someone you no longer want to provide service to (such as a slow payer or a ‘difficult’ customer), or for more positive reasons such as reminding for upsells, or when customers have specific needs, you can make an event that will prompt you to ask about those needs.
  • Related services can now be opened from within a contact manager event - If you assign a related service to a contact event, it can now be opened directly from the Add / Edit Contact Event screen by clicking on the [...] button.
  • A significant performance increase on the "Estimated Hours" field - This dramatically increases the performance of My Calendar and the Waiting List. As well, route list, work order and "All Scheduled Jobs" reports, when updated to the latest datasources, will have a significant performance increase.
  • Estimated hours column in List View - The estimated hours column can now be made visible in the List View.

New for QXpress Platinum and Enterprise:

  • ALL QXPRESS STANDARD and GOLD FEATURES
  • Project Visit service times - For projects, when a project visit is turned On Route, a blank service time with the project visit's date is automatically inserted. This saves clutter on large projects by only inserting blank records as they are turned On Route.
  • Templates for Contact Events - Contact Event reports can now be printed using either standard reports, or a Template Designer report, if a Platinum or Enterprise user.

New for QXpress Enterprise:

  • ALL QXPRESS STANDARD, GOLD and PLATINUM FEATURES
  • SQL 2005 compatibility - QXpress Enterprise is now compatible with SQL 2005. Previously only SQL 2000 was used.

QXpress version 7.0 (QX7) Release

With the help of your suggestions, we have added over 35 new features to QXpress.  The features range from small changes, such as having only crew names an no longer having crew numbers, to being able to choose the vocabulary of "Crew", to big changes, such as the new Quick Invoice feature, and creating of Vendor Bills & Purchase Orders!  Here are the top features added in QX7:

New for QXpress Standard, Gold, Platinum and Enterprise:

  • QuickBooks 2007 compatibility.
  • New partner: XORA - GPS and time tracking for NEXTEL phones - XORA is a software application that is used on Nextel GPS-enabled mobile phones. The software allows your staff to track start and stop times, crew instructions, and set services to complete - while all the while collecting GPS locations.  By integrating with XORA, QXpress will send your list of services to your Nextel phone, where your staff can record their start and stop times. These times can then be downloaded back into QXpress. The nice thing about this is your staff have a very simple interface and use the same Nextel phone they are using now.
  • Home & Learning Center - the Home & Learning Center is the new opening screen for QXpress users. It is meant to (i) give users an overview of tasks that need to be performed; and (ii) give new users an easier way to learn and understand QXpress.
  • Crew Vocabulary - you can now rename the “Crew” in QXpress to one of the following choices: “Crew”, “Room”, “Team”, “Tech” or “Truck”.
  • Crew Number no longer used - in prior versions of QXpress, each Crew had a designated 3 letter Crew Number and a 30 character Crew Name. This has now been changed so that there is only the 30 character Crew Name shown in QXpress, and the Crew Number is no longer used.  
  • “Day: time on top” and “Week: time on top” views - in addition to List, Day, Week, Month and Cust views, there are two new views added. The “Day: time on top” and “Week: time on top” views are recommended for companies that have more than 5 crews, as they provide an easier way to see many crews in the calendar.
  • Spell check for job instructions and long charge description - QX7 now has a spell checking feature for Job Instructions and Long Charge Descriptions.


New for QXpress Gold, Platinum and Enterprise:

  • ALL QXPRESS STANDARD FEATURES
  • Integration with Item Groups - QXpress is finally compatible with QuickBooks Item Groups. An Item Group is a name given in QuickBooks to a collection of several service, inventory and non-inventory parts, in pre-set quantities. For example, if you were to install “Widget A”, you could make a “Widget A Installation Group” in QuickBooks, comprised of 2 labor hours of the service item “Widget Labor”, 1 unit of the inventory part “Widget A” and 15 feet of the non-inventory part “Wire”. This is a major feature for HVAC, Plumbing, Electrical Contracting, and Irrigation companies that deal with Flat Rate pricing models.
  • Vendor Bills & Purchase Orders - in past versions of QXpress, it was assumed that materials were not bought for a specific service for a specific customer, rather that materials were taken from a large stockpile of inventory. This posed a problem for service companies that purchased materials in the field at the time of service, since double-entry had to be made, once for either the Vendor Bill or Purchase Order in QuickBooks, and then again in the Act Mat. Usage tab in QXpress. To solve this problem, you can now create Vendor Bills or Purchase Orders for materials directly from the Act. Mat. Usage tab in QXpress. The Vendor Bill or Purchase Order gets posted into QuickBooks instantly, and the resulting materials get entered into the Act. Mat. Usage tab and Job Items tab.  
  • ‘Payment collected at time of service’ in Job Items tab - many service companies collect a payment from the customer at the time of service. In prior versions of QXpress, users would typically have to first post over invoices at the end of the day, and then go through all the payments received and post the payments into QuickBooks directly. For these types of service companies, this was cumbersome since it meant processing each service twice, once in QXpress for the invoice and once QuickBooks for the payment.  The new ‘Payment collected at time of service’ feature solves this problem by quickly and easily allowing you to enter the payment into QXpress when you are making any other edits to the service.
  • Quick Invoice - create and post invoices directly from service - for many companies that use ‘Invoice Upon Completion’ invoicing, the process to create a batch of invoices to send from QXpress to QuickBooks can be seen as cumbersome. This is especially the case when most services need to be edited at the end of the day. For this reason, the Quick Invoice feature cuts out many unnecessary steps, and is more intuitive for those who just want to edit a service, put in times, materials, and payments received in the field, and post the service as an invoice to QuickBooks, all in one convenient step.
  • Multi-window - the Customer, Equipment, Charge Description List, Service, Service List, Invoice List and Contact Manager screens can now remain open while you work in other areas of the program. This, to many QXpress users, could be the single biggest new feature introduced by QX7.
  • Service-level custom fields in List View - in prior versions of QXpress, you could only see service-level custom fields in the Day or Week view. In QX7 you can now add these fields as columns to the List view of My Calendar.
  • Contact Events appear in Day / Week view - contact manager events can now appear as appointments in the Day and Week view of My Calendar.
  • New ‘Related Service’ field for Contact Events - there is a new field available for Contact Manager Events, the Related Service field. Once you select a customer, the Related Service dropdown list will populate with all the services for that customer. The purpose is to track conversations and reminders that pertain to a specific service, such as follow ups on estimates given to customers.

New for QX Mobile (new version QX Mobile 2.0):

After nearly a year of use in the field, QX Mobile has been a success.  We thank all QX Mobile users for their feedback of what was needed to make QX Mobile complete.  The following features are the main highlights of additions to QX Mobile.  Please see the QX7 full feature for how to use these features, and for what other features have been added to QX Mobile version 2.0.

  • Template Designer template compatibility -You are now able to use the majority of templates from Template Designer in QX Mobile, assuming you have one of the specified printers (see www.qxpress.com/QXMobile for suitable printers).
  • Create your own Custom Data Entry screen - You can now create your own Custom Data Entry screen, which replaces the old Time / Material screen. This allows to collect and display the information that is relevant to your company on one screen for your field staff! The Custom Data Entry screen can list Equipment, Job Items, Act. Service Times, Act. Material Usages, etc. You will also be able to drag and drop and resize controls. If you do not make any changes to the Custom Data Entry, then the old Time / Materials screen will be used.
  • Record payments received in the field - You are now able to take detailed payment information in the field for services that have the status On Route or Done.
  • Take photographs, such as before and after pictures - You are now able to take pictures in the field for services, that get inserted into contact manager events in QXpress.
  • Enter vendor bills & purchase orders in the field - You are now able to create Vendor Bills and P.O.s in QX Mobile. If you have QX Mobile Server properly set up, you may also synchronize remotely with your desktop and receive back the P.O. number assigned by QuickBooks while still in the field.

QXpress version 6.0 (QX6) Release

QXpress version 6.0 (QX6) is the most significant version of QXpress ever released, promising to revolutionize service industry businesses using QuickBooks.

New for QXpress Standard, Gold, Platinum and Enterprise:

  • QuickBooks 2006 compatibility.
  • QX SyncTM is perhaps the biggest feature of QX6.  This new feature virtually eliminates the need to click Get new QB data, providing you are using QuickBooks Pro 2004 or greater. QX Sync is a program that silently listens for changes to QuickBooks. Whether it is adding a new employee, editing an item, or merging two QuickBooks customers, QX Sync will detect the change instantly, and update the changes in your QXpress database - regardless of whether QXpress is even open.  QX Sync confirms QXpress's committment to having the tightest QuickBooks integration of any service industry software.
  • New Module: QX MobileTM for Pocket PC - QX Mobile revolutionizes the experience for QXpress users. Imagine you and your staff taking a mini-version of QXpress out with you in the field. Unlike the QXDC that was mainly meant as a job costing tool, QX Mobile allows you to take all customer information, history, contact events, and services out with you in the field. You have full read/write capabilities on all data, and can add new customers, services, and items in the field and have it sync back perfectly with QXpress. And get this: QX Mobile can by synced wirelessly in the field, from a cradle in your crew members home, or using a cradle back at the office. Did we mention you can even print estimates, work orders and invoices in the field, as well as capture signatures from your clients?  QX Mobile requires a separate purchase and is designed for Pocket PC devices only, not Palm OS or Blackberry.
  • QX FormsTM -  These forms are industry specific and will be available in a pre-printed format. When you purchase the pre-printed forms they will come with your logo, boxes, lines, and colored shading. QXpress will print the field labels, and data. This way you can still change the wording, and the data fields used, using the Template Designer.
  • QX MappingTM - Recommend available time - Imagine you are sitting in front of My Calendar, in the Day View, looking at all your crews for the next three days, and a phone call comes in. It is a customer, and they want a service call. Your job is to slot them into the calendar for a day, crew, and time. It's a tough job because you need to find an available time slot that minimizes the drive time to and from existing services that are already scheduled. This is the purpose of the Recommend available time feature, as it will do all necessary calculations automatically for you!  This new feature requires the QX Mapping module.
  • QX MappingTM - Re-route Current Date Range - This has been a long requested feature from pest control, lawn / tree spraying, and other industries who need to route days or weeks of work in a geographical manner. Imagine you have scheduled all of your customers who receive a service in the first two weeks of July. It does not matter which day or time these services are on, and it doesn't matter which crew does them, it just matters that they are done in the two week time frame with as little drive time as possible. The new Re-route Current Date Range feature will automate your rescheduling and routing for you, and help you group which customers should be serviced on which day.  This new feature requires the QX Mapping module.
  • QX MappingTM - Lock/Unlock Date - This feature compliments the Re-route Current Date Range feature by allowing you to specify some services that should not be re-routed to a different day.  This new feature requires the QX Mapping module.
  • Recurring Scheduling - Turn off Automatic Rescheduling - You'll now see a new checkbox labelled Turn off Automatic Rescheduling for this service under the Recurring Dates tab, when scheduling a recurring service with the basis of Weekly, Biweekly or Other Intervals. Normally, when services of this type are rescheduled, QXpress looks at the basis and minimum days, and looks to rearrange future services so that they are not too close or far away from one another. While this is desired by most users, it can cause problems for users who want full control over rescheduling. Therefore selecting this checkbox turns off all QXpress automatic rescheduling features.
  • Other Intervals - Min days per interval - When scheduling a recurring service with the basis "Other Intervals", you'll see the Other Intervals tab has been redesigned to allow a different Min days per interval. Previously QXpress had one min days for the entire service.
  • Min, Max & Done textboxes - select all when entered - Now when you tab into the Min, Max and Done fields under the Recurring Dates tab, the full value inside the box highlights, making it easier to overwrite. Previously you had to delete the existing values before you could start entering your own.
  • Crew Name added to Crew dropdown list in My Calendar - Due to many requests, we have added the Crew Name to the Crew dropdown list in My Calendar.
  • Setting default crews, deleting crew ‘001’ and ‘n/a’ - You can now specify default crews for new customers, billing installments, and services added to the Waiting List. Setting these defaults to crews other than ‘001’ or ‘n/a’ now allows you delete these crews - a very common request from QXpress users.
  • Defaults for Start and Stop Scheduling dates - For recurring services, there is now a way to set a default start and stop scheduling date per charge description, saving you from always having to manually change the dates in the Recurring dates tab.
  • Waiting List - State/Province field added - For companies that perform services in multiple states or provinces, we have added the State/Province field as an available field to the Waiting List.
  • Waiting List - Available in the List View - The Waiting List is no longer limited to just the Day View, it can now be used in the List View as well.
  • Generate Batch Invoices - Invoice Date field - When generating invoices, you now have a new Invoice Date field in the Generate Batch Invoices screen. By default, today's date will be recommended, but you can always change this date before generating invoices. The Invoice Date can be set in the future or a date in the past.
  • Generate Batch Invoices - Bill To Address added to Sort By - When generating Type 1 or Type 4 invoices, the Sort By dropdown list now includes "Bill To Address 1" and "Bill To Address 2".
  • Post Invoices to QuickBooks - speed and stability increase - We have changed the process to send batches of 25 invoices over at a time, as opposed to the whole batch at once. We have found that the larger the batch, the longer it takes QuickBooks to process each invoice, and QXpress users are clicking CTRL-ALT-DEL because they think that QuickBooks and QXpress are frozen, when really they are not. By sending over batches of 25 at a time, it will be faster, and more predictable in speed. From your standpoint, though, you won't notice any additional steps, because you only have to click Post To QB once, and QXpress will handle processing the batches of 25 at a time by itself.
  • Post Invoices to QuickBooks - Balance column - We have added a Balance column to the Post Invoices to QuickBooks screen.
  • Post Invoices to QuickBooks - Edit Invoice button - You can now edit invoices directly from the Post Invoices to QuickBooks screen.
  • Template Designer - Drill-down reports - This is a great feature for the hard core Template Designer enthusiasts. You can now make your own drill-down reports similar to the built-in QXpress Job Costing and Gross Status reports. A drill-down report hides the details of a group section until you double-click on the group header.
  • Template Designer - New CUSTOMDATE formula - You can now use a new formula called 'CUSTOMDATE' to produce virtually any date or time format you like.
  • Template Designer - New MONEYTOTEXT formula - TD2 now has a new MONEYTOTEXT formula which formats a numeric value into written text. This will commonly be used for proposals or contracts. For example, you would use MONEYTOTEXT(({Root.JobSetupAmount})) if you wanted the Job Setup Amount of $110.17 to appear as "one hundred and ten dollars and seventeen cents".
  • Charge Descriptions - Make Inactive - You can now set Charge Descriptions to be inactive, so they no longer appear in your list for new services or Job Items.
  • Charge Descriptions - Filtering - The Charge Description list now allows you to use filter options to quickly find Charge Descriptions.
  • Equipment screen - filter options - The Equipment screen has filter options on top of the list to help you find Equipment faster.
  • Equipment screen - Customer Assignment - Many QXpress users, mostly in the Plumbing and HVAC industries, maintain specific equipment on properties. The new Customer Assignment feature allows you to assign a specific piece of equipment to a specific customer, and have this equipment listed in the Customer screen.
  • Customer screen - Sorting saved for History & Schedule tabs- When you are in the Customer screen, under either the Schedule or History tab, you can click on a column header to have it sort by that column. In past versions when you edit a service while it is sorted, however, QXpress would reset the sorting back to the original order, causing you to have to resort the list again, find the position you were on, and then edit the next service. In QX6 the sorting will be saved for you, saving you this hassle.
  • Startup Interview - multiple selection - The Startup Interview gives new users the ability to select multiple industries they are involved in, instead of just one main industry.
  • Add / Edit Customer screen - Formatting of phone numbers - When adding or editing a customer, if the phone number begins with 10 digits, the phone number will automatically format to a (###) ###-####.
  • Add / Edit Customer screen - Autofill from Zip / Postal Code - When adding a new customer, try entering in the Zip / Postal Code first. QXpress will check to see if other customers in your database have that Zip / Postal Code, and if so, it will automatically fill in the City, State and Country for you.
  • Login Form - only appears for users with login permissions - In QX6, the Login Form only shows if you have setup login permissions in QXpress Platinum or Enterprise. Otherwise, QXpress will simply open using the last database you accessed.
  • Startup Screens - Replaced with Startup Alert - In prior versions of QXpress, you would be prompted by several startup screens asking if you wanted to renew services, reschedule services, create invoices, and compact your database. These prompts have now been consolidated into one new Startup Alert screen making it faster to open QXpress each day.


New for QXpress Gold, Platinum and Enterprise:

  • ALL QXPRESS STANDARD FEATURES
  • Post Service Times to QuickBooks - Include Notes option - QXpress users with many service times found the Notes field makes the Employee Timesheet in QuickBooks hard to read, and un-necessary. Therefore, in the Post Service Times to QuickBooks screen there is a new checkbox Include Notes.
  • Job Packages - Set missed visits to Needs Renewal - When adding Job Packages to a customer's account, you'll see a new checkbox labelled Set missed visits to Needs Renewal. If you have this checkbox selected, QXpress will analyze each service in the Job Package. If the service is a Zone based service, and the Approximate Service Date of the service is in a month prior to the current month, the status will automatically be set to Needs Renewal instead of Active. This means the service will not be performed this year, but will be made available for the renewal process next year. This is intended mainly for companies that perform several seasonal services, and pick up customers half way through the year.
  • Default Job Items - Apply settings to Pending Services - There is now a feature to apply the default Job Items for a service across all existing services. For example, imagine you have setup hundreds of customers with "Service A". As part of Service A, you always use 1 unit of Material A and 2 units of Material B for every 1000 square feet of property size. If, half way through the year, you make changes to the service to now substitute Material A and Material B with just 1 unit of a new material called Material C, you would have a huge amount of work on your hands changing all the services one-by-one. This new feature, however, changes all existing services with a single click.
  • Surcharges (a.ka. Fuel Surcharges) - You can now setup Surcharges (usually Fuel Surcharges) in QXpress to be calculated automatically when you create invoice.
  • Customer screen - Sorting of Custom Fields - Custom fields, in the Customer screen, of the type 'Dropdown list' now sort alphabetically. Previously they sorted in the order entered.
  • Refresh button in My Calendar speed increase - Databases with over 2000 customers should see a speed increase when you click Refresh in My Calendar. This is across all versions of QX6, but especially in the new QXpress Enterprise version.
  • New menu style - When you right-click, or choose from the File/Edit/View/Lists... menus, you'll see menus have a new Windows XP type of style. The new style enables us to use icons for common operations you perform, making it easier for you to navigate throughout QXpress.

New for QXpress Platinum and Enterprise:

  • ALL QXPRESS GOLD FEATURES
  • Project Scheduling - Reschedule dates later/earlier - One common request from QXpress users who have long multi-day projects is for an easier way to reschedule future visits. The Reschedule dates later/earlier feature allows just this. It pushes all visits in the project later or earlier by a set number of days, in an easy and quick way.
  • Project Scheduling - New view for Date Summary tab - The Date Summary tab now shows Dates along top of the Project Visits grid, instead of times. This allows you to get an easy overview of what tasks are planned for which dates.
  • Act. Mat Usage - Automatic Job Items - Now when you are entering material usage in the Act. Mat Usage tab you don't necessarily have to have the material already setup as a Job Item. The list of materials to choose from first lists existing Job Items, but then also lists materials that are not yet Job Items. When you a choose a material that is not yet a Job Item, QXpress will automatically make that material a Job Item for you, saving you several steps.
  • Act. Service Times & Job Cost Timesheet - Automatic Job Items - Similar to the Act. Mat Usage - Automatic Job Items feature, when entering service times you are no longer limited to the existing Job Items, as you can choose a service that has not yet been made a Job Item.
  • Act. Service Times - Fill Crew Members - The Fill crew members for all that have times entered feature, that was previously only available in the Job Cost Timesheet, is now available in the Act. Service Times tab as well.
  • Act. Service Times - Distribute Times - The Distribute times to selected services feature has also been added to the Act. Service Times tab, as it was previously only available in the Job Cost Timesheet.
  • Fill crew members screen - Crew dropdown - A Crew dropdown list has been added to the Fill crew members screen. This allows you to easily choose members of a different crew from whom was originally scheduled for the service.
  • Job Cost Timesheet - Inactive Employees - In past versions of QXpress, inactive Employees would never show in the Employee column in the Job Cost Timesheet. This was due to the fact that you didn't want to mistakenly choose an inactive employee and record time for them. The problem, however, is that when scanning through old history, employees that had since been turned inactive would only show up as numbers where their names used to be - making it impossible to know who the recorded the time was for. Therefore, a new rule has been set. If the From and To dates in My Calendar are both greater than 7 days ago, the Job Cost Timesheet will be assumed to be showing history and therefore will load inactive employees, otherwise only active employees will load.
  • Job Cost Timesheet - Resizing - You can now resize the Job Cost Timesheet like you could previously with the Customer screen, Equipment List, Charge Description List, etc.
  • Custom Field speed increase in the Customer screen - Scrolling through custom field tabs in the Customer screen has been redesigned so that it is significantly faster - especially if there are over 1000 customers in your database.

New for QXpress Enterprise: (ALL NEW VERSION!!!!)

  • ALL QXPRESS PLATINUM FEATURES
  • After over two years of development, we are pleased to announce that the Enterprise version is now available! This modified version of QXpress uses Microsoft's SQL Server Desktop Engine for its database. QXpress Enterprise offers medium and large sized service companies a solution with enhanced database stability and superior speed - all while maintaining the ease of use of QXpress. New for QXpress Standard, Gold and Platinum:

  • QuickBooks 2005 compatibility.
  • Template Designer Version 2.0 has made it a lot easier to create new templates. TD2 is faster to design templates with, faster to display, and more powerful than ever before. Highlighted new features of TD2 are:
    • Email all templates in PDF format.
    • Group Headers and Group Footers are now on the root report.
    • Subreports are now designed in their own tab.
    • Multiple objects can be selected at once for moving or changing properties on.
    • A new formula wizard has been added to walk you through the process of making advanced formulas.
    • RTF objects can now have data fields and formulas embedded in them.
    • Dynamic pictures can be loaded from database fields. For example, this allows you to display a picture of a customer's property on a work order or invoice.
    • Templates can now be set to be either Landscape or Portrait.
    • Objects can be suppressed to not show during previewing or printing.
    • The sorting of records can be now be set from the Print Preview screen.
    • A printer can now be changed from the Print Preview screen.
    • Searching downloadable templates is now easier with the ability to filter the list.

  • The Generate Invoices screen has been enhanced with several new features:
    • You now have the ability to skip the Print Preview screen and go straight to the Post Invoices To QuickBooks screen.
    • You can now filter services to only generate invoices that are set to be emailed as opposed to printed.
    • You can now change the order that Type 1 / Type 4 invoices are generated in.
    • If you are using QuickBooks 2005 you can click the details button next to the Starting Invoice Number field to query QuickBooks for the next invoice number.
    • You can now choose to make services that have Type 2,3,5,6 invoicing to generate one invoice per service in the case that you have selected a day where customers have multiple services scheduled.
  • The History Tab has now become your 'Customer Center'. If you are using QuickBooks Pro 2002 or higher, and have QuickBooks open, QXpress will automatically display a customer's QuickBooks invoices, payments, credit memos and estimates directly in the History tab. It will also show all contact manager events for that customer. If you are using QuickBooks Pro 2003 or higher, you can double-click on a QuickBooks transaction and you will be taken directly to that transaction in QuickBooks!
  • The Alocet PDF Writer is installed with QX5. This allows you to convert ANY Windows print job into a PDF file, viewable in Adobe Acrobat. You will find that it becomes a printer available on all your Windows software.
  • You can now resize screens such as the Customer, Service, Contact Manager, Charge Description List, New Service, Invoice List, Crew Setup List and Equipment List screens. This allows you to see more information on a screen at once.
  • The Print My Calendar feature allows you to print the Day View or Week View calendar.
  • The 'OR' command when filtering customers or making a Memorized Filter List allows you to search for more than one criteria at once.
  • List View columns can now be customized, so you can add and remove columns.
  • Crew Names now appear with the Crew Number in the Day View and Week View so that you don't have to memorize what the 3 digit crew number means!
  • Remote Data Services (RDS) allow you to Get QB Data, add / edit customers, and post invoices to QuickBooks without even having QuickBooks on your computer.
  • Customer balances are now automatically updated in QXpress when you post invoices to QuickBooks.
  • QuickBooks-style dropdown lists are now used for customers and charge descriptions, showing the subitems indented below parent items.
  • The Add / Edit Customer screen now has new fields available such as QuickBooks custom fields, QuickBooks notes, Customer Type, Payment information and Account Number.
  • The Dispatch To Email / Pager feature allows you to quickly dispatch an On Route service in My Calendar to your crew's pager or cell phone.


New for QXpress Gold and Platinum:

  • ALL QXPRESS STANDARD FEATURES
  • Inventory Adjustments enable you to post actual inventory usage to QuickBooks, instead of what was on an invoice. The two amounts are often different, and made it difficult to maintain inventory in prior versions of QXpress.
  • Print Work Order is now available in the Job Items tab of the Service screen.
  • The Contact Manager has been enhanced with many new features:
    • You can now attach any Windows file (like an image, Word or Excel document) to a contact manager event and open up that file from the contact manager.
    • You can now see customer contact information, such as the Phone number, Contact and Alternate Contact, on a contact manager event.
    • You can now click the Timestamp button to record the time a note was entered and who entered it.
    • There is now a date field for both the date the event was entered and the date the reminder for the event should appear.
    • You can now dial a customer's phone number using your computer, directly from a Contact Manager event.
  • You can now import an estimate from QuickBooks into QXpress, from the Activities button in the Job Items tab.
  • Settings for default Job Items are used even when a charge description is not the 'Parent' item.
  • The Job Cost Timesheet now allows you to edit services directly from this screen.

New for QXpress Platinum:

  • Posting Vendor (subcontractor) bills is now a separate activity from posting invoices.

QXpress version 4.0 (QX4) Release

New for QXpress Standard:

  • QuickBooks 2004 compatibility.
  • Waiting List for dispatchers makes it quick and easy to add services to an ongoing list and then click and drag those services onto the schedule at a later time.
  • Work Order Numbers are now assigned automatically by QXpress to every service that is added.
  • "Crew Groups" provide greater control over the services viewed in My Calendar. Instead of just being able to view "one crew" or "all crews", now you can view any group of crews.
  • "Cust" View is a new viewing option in My Calendar. This view displays customers in the left-hand margin, dates at the top of the screen and services listed under each date. This viewing option is useful for companies that schedule multiple services per customer per week or that schedule projects.
  • "Extend Contract" (or "Charge Over Max") enables you to setup a contract that bills a flat rate for a recurring service up to a maximum number of visits. After the maximum number of visits is surpassed, each additional service is charged in addition to the flat rate.
  • Add QuickBooks items from QXpress. This means you will not have to "Get QB Data" as often. For network users, this also means you will not all have to logout of QXpress to add an item into QuickBooks.
  • Find Customer icon makes it easier to locate a customer when you are adding a new service. Rather than scroll through your entire customer list to find the customer you want to schedule the service for, this feature enables you to locate the customer instantly.
  • Restore My Database to an Earlier Time enables you to restore a QXpress database from the previous day (or from the last time QXpress did a "silent backup").
  • Additional routing options makes it possible to assign multiple Sort Codes to a customer based on the day of the week.
  • "Share Groups"enable you to decide who you want to share your templates with.
  • Forward/Backward Buttons in My Calendar make it faster/easier to scroll through dates.
  • Rename Crews enables you to rename your existing crews.
  • Zoom Option on Day View Calendar gives you the ability to change the size of the information shown in this view.
  • New options for posting invoices to QuickBooks enables you to 1) have Work Order Numbers automatically appear in the Invoice Memo in QuickBooks and 2) choose to use the QuickBooks item description instead of the QXpress charge description.


New for QXpress Gold:

  • ALL QXPRESS STANDARD FEATURES
  • Custom Fields at the service level allow you to track your services in even greater detail by giving you the ability to track the service details that are most important to you.
  • Group Service Times make it faster and easier to assign service times for a group of properties serviced at the same time. Using this feature you can enter a total service time and have it allocated to each property based on the proportion of that property's estimated service time to the total estimated service time.
  • Copy Est. Qty. to Charge Qty option in the Job Items Tab makes it faster/easier to enter actual costs for a service.
  • Ability to post service times for services with an "On Route" status means you do not have to change the status of a service to "Complete" in order to post service times to QuickBooks.
  • Service times can now extend beyond midnight.

New for QXpress Platinum:

  • ALL QXPRESS GOLD FEATURES
  • Login User Access Permissions enable you to set limits on who can access QXpress and what features they can use.
  • Assigning a service to multiple crews is now possible by converting a one time service into a project.
