QXpress Online Overview


QXpress Online is a web-based version of QXpress, which enables you to access your QXpress and QuickBooks database online from anywhere at any time. In addition to scheduling capabilities and real-time synchronization with QuickBooks, QXpress Online includes a full featured CRM, customer portal, customization abilities and automatic backups of your database. QXpress Online is built on a web-based platform, making your QXpress Online and QuickBooks data accessible from absolutely anywhere with an internet connection.

Real-time synchronization with QuickBooks


QXpress Online uses patent-pending, real-time synchronization with QuickBooks, meaning changes made in QuickBooks are updated in QXpress Online as they happen, and vice-versa.

Customizable screens, fields & actions


QXpress Online is completely customizable without any programming or coding. Drag and drop wizards enable the average person (i.e. non-programmers) to create their ideal scheduling add-on for QuickBooks. If you want to add a field to a screen, then add it. If you want to delete a field, then go ahead and delete it. Customization services are also available for an additional charge.

Customizable online customer, employee and vendor portals


Customers, employees and vendors can conveniently login through the portal to view their account information online, without having to contact your company. Customers and vendors can view recent transactions and invoices, submit questions and update their contact information all on their own, while employees can login to view their schedules and record work. Portals can be customized for added capability.

Customizable service templates & reports


Customize your own route lists, work orders, invoices, contracts, reports and marketing templates. Create branded templates using drag and drop fields from QuickBooks or QXpress, import your logo, insert boxes, lines, sub reports, formulas and rich text paragraphs.

Scheduling & dispatching


Schedule one-time, recurring and multi-day services by time of day or by route order. You can also dispatch unassigned work orders (and zone-based services) from a waiting list to an employee calendar with ease. No double data entry is involved since estimates convert into work orders and then into invoices that post to QuickBooks.

Batch work orders & invoicing


Work orders can be generated individually or as a batch, to be printed or emailed to employees. Turn scheduled work orders into QuickBooks invoices one work order at a time, or as a batch for a selected date range.

Job Costing


As a service company, time is your most valuable asset. Tracking how long services actually take your crews, and comparing those hours with what you estimated in an estimated vs. actual man hours report, is essential to ensure you maximize your profits. Track employee and subcontractor start and stop times (which post to QuickBooks for payroll) and keep track of materials used, to run job cost reports that highlight your profits and losses.






CRM Sales and Call Centers


Full CRM capabilities are provided in QXpress Online. In the Sales Center, employees can track marketing campaigns, opportunities and activities with ease. A list builder is also included for the generation of campaign mail and email address lists, with mail merge capabilities for added convenience. The Call Center portion makes it easy to create, track and edit cases and solutions. All the information your employees need to provide exceptional customer service to clients is right here in one program, so it is easy to stay on top of customer contacts, resolve issues and reference customer history.

Integration with Outlook


QXpress Online integrates with Microsoft Outlook, so that customer emails received in Outlook can be sent to QXpress Online and linked to a customer’s account, opportunity or case.
(In the works: the next version will sync the QXpress Online calendar with Outlook’s calendar)

Daily automatic backups of your database


Automatic backups of your database are made on a daily basis, so you don’t have to worry about manually backing up your data. Your QXpress Online data is stored on a secure server, so you can rest assured that it is safe and protected.





No server or additional hardware required


Since QXpress Online is a web-based, hosted solution, there is no need for any additional hardware.  This means you will not need a server, network upgrades, or additional computer components. After installing the sync tool on the same computer as your QuickBooks file, you can use QXpress Online on absolutely any computer with an internet connection.
